The QR code

The QR code is the whole guest experience. Someone points a phone at it and the camera opens. There is nothing to install and nothing to sign into.

Your job is to put it where people will actually look.

Where to find it

Open your event and look at the Overview tab. The QR code is there, along with the join link and a Print your QR poster button that opens a print-ready page.

You will also get the poster by email the moment you launch the event, as a PDF attachment. That email is worth keeping. It is the fastest way to hand the poster to whoever is printing.

Printing table cards

The poster page is designed to print straight from your browser. A few things that make a real difference:

  • One per table beats one by the door. People photograph what is in front of them.
  • Print bigger than feels necessary. A code the size of a coaster is scanned from a seat; a code the size of a stamp is not.
  • Put it where a phone already rests: next to the menu, the centrepiece, the bar.

Not every event has tables. The join link works anywhere a link works:

  • Drop it in the group chat the morning of the event.
  • Put it in the WhatsApp broadcast with the venue address.
  • Add it to a slide between talks at a conference.

The link and the QR go to exactly the same place, so you can use both.

When guests can scan

The code only works while the event is live, between the start and end times you set. Before the start, guests see a friendly "not started yet" screen rather than a broken page. After the end, shooting closes but the gallery stays open so people can still look at what everyone shot.

Keep the poster

The link on a printed poster stays valid for that event. If you print posters weeks ahead, they will still work on the day. The code is tied to the event, not to a session.

If a guest cannot scan

Almost every failure is one of three things:

  • Their camera app does not scan QR codes. Rare on modern phones, but any free QR app works, or just send them the link.
  • They opened it inside another app. Scanning from inside Instagram or Slack can open a stripped-down browser. There is a prompt on screen telling them to open it in their real browser, and that fixes it.
  • The event is not live yet. Check the start time on the Overview tab.
